Handle payments, donations, and refunds securely with our Eventbrite selling guidance. How are Eventbrite payouts handled? Getting paid for tickets sold is easy. Eventbrite payouts are sent to the University bank account three days after the end date of the event and the university cash office will transfer payment to your account.You just need to tell University cash office where to transfer your payment via the app below.The app is supplied through Power Apps so you can pin it to your Microsoft 365 web portal or on your device. To use the app on a mobile device you will need to install Microsoft Power Apps first and sign in with your University Microsoft 365 account.Don't have access?If you need access to the app, use our quick request form linked below to request access. The app is an internal resource. It does not connect to a bank account and it cannot be used to adjust your event details. VAT details are added in your event options directly in Eventbrite, not in the PayTo App.Make sure you know the required account codes (Entity, Fund, Cost Centre & Account). You'll need to add them with each new event. Eventbrite PayTo Records App Request Access to the App Service Level Agreement Allow up to ten days after the event end date for payment transfer to give us time to complete the process below:Up to three business days after the event end date - Eventbrite payout to University bank accountUniversity Cash Office are notified about due paymentsUp to five days after Eventbrite payout - University Cash Office transfers payment to your 'PayTo' accountAs an event organiser with tickets on sale, you can see the paid status and payment due date via the appIf the payment due date falls to a weekend, allow the next working day for payment transfer. Image Can my attendees pay by invoice? Yes, you can set the payment method when you setup tickets for your event. These are referred to as 'Offline Orders' and Eventbrite provides instructions about how to setup your event to allow payment by cheque or invoice: Allow Pay by Cheque or Invoice Can I accept donations for tickets? Yes, you can allow your prospective audience to include a donation towards the cost of your event when they reserve their tickets. You must allow this when you set up your tickets in Eventbrite. Please note, income from donation tickets must be used to contribute towards the cost of the event. Eventbrite provides information about how to set up your refund policy. You have the following policy options:Up to 1 day before the event startsUp to 7 days before the event startsUp to 30 days before the event startsOn a case-by-case basisNo refunds Set a refund policy (Eventbrite Help Centre) What about VAT? IMPORTANT:20% VAT is already calculated in our Eventbrite fee but Eventbrite states that they're obliged to apply a 'sales tax' per event on ticket sales, unless we verify the university VAT ID (592950700) in each event which exempts this add-on tax.If your event has only free tickets, you do not need to do anything. Event organisers in the University's Eventbrite account are not authorised to set the tax per event because the VAT rates are already applied on the account level. This would require the each event organiser has access to all events in the account which would breech our data protection obligation.When planning your next event, simply copy the draft event "Template Event for Sale Tickets - Tax Exempt (DO NOT DELETE)" which has the required tax settings pre-set for you.
