Since then, around 85% of schools/planning units across campus have now boarded (this is up 31% from June). When will Eventbrite remove their fee waiver from my account? Eventbrite will remove their fee waiver or discount on tickets sold from all other university accounts from October 2024. We strongly recommend you on-board the central service and publish your future events in the University of Edinburgh Events account now. HTML Anyone seeking to use Eventbrite to put tickets on sale are welcome to request access below, to receive partner benefits. Being granted access currently is on the understanding that not all supporting processes or information might not be finalised until end July 2024. I'm an existing Eventbrite user, what are the differences? Differences when using a partner account Using the functions and features in the University of Edinburgh Events account in Eventbrite will be familiar to you already, these have not changed. However, because we all share access to the same partner account with event organisers/teams across campus using it, we must manage access to some 'account level' features. The following outlines some of the differences to using your own local Eventbrite account and explains what this means and why it's different: Eventbrite Partner Account Differences Function Feature Difference Reason Access to the account Sign-in Use your university sign-in email address Individual event organisers can use their own work sign-in email address (your.uun@ed.ac.uk) to on board to the University of Edinburgh Events account in Eventbrite. If you on-board with a shared email address, ensure that you track use and access to the shared email account. Practice regular password resets to ensure any staff leaving the organisation do not continue to hold access to the account. See section "Get access to Eventbrite" Shared access to my events space View, create & publish Events People in your Institute, College, School or Support Group can request access via www.ed.ac.uk/eventbrite and can start to view, create and publish events under your organiser profile This service is available for use by any eligible staff who organises events on behalf of their Institute, College, School, Support Group. We recommend, if you have you're own governance around who can publish events, that you monitor access to your space. Refer to our "Record of Eventbrite Users" to see other event organisers in your area. Organiser Organiser Profile Page One per School, College, Institute, Support Group (Level 4 Org Unit Only). Helps the organiser list their events. If the event(s) are made public then these will be discoverable in the Eventbrite public space. Prospective attendees can follow or engage with you via email or social media. Internally, this is combined with a corresponding role which helps keep your event listings separate from other organisers using the account. This helps the flow of communications about your specific events. See section "What's an organiser profile; why do I need one?" Organiser Followers Can my followers be migrated? No, Eventbrite doesn't have any migration tools. However, you can inform your followers via your existing Eventbrite account and through your other prospective follower outlets. If you have an existing Eventbrite account, you could create an Event in it which advertises your new Event Organiser page or Event Collection if you have created one, in The University of Edinburgh Events account. By doing this, you will notify your existing followers. You could post an update to your existing account's Organiser page to let your followers know and put your 'we have moved sign posting' details in the: "Organiser Bio" "Description for event pages" You could include a link to your new organiser page or event collection. Your Organiser page for your existing Eventbrite account may also have a link to your website and social media sites if you added them. Given that these will be linked in your existing Eventbrite account Organiser page, you could put further sign-posting here too, to inform your prospective followers. Collection Events Collection Page Each Event Organiser / Team can create their own, or use the generic ones in The University of Edinburgh Events organiser This allows for a more niche curation of events based on theme compared with the organiser profile page. It also allows more flexibility of design & presentation. See section "What's an Event Collection; how do I create one?" Marketing Campaign Tools Access to email campaign and promo code creation in Eventbrite is by request. Paid Ads through Eventbrite are not supported. The marketing tools in Eventbrite are limited with one social media connection with the account which would break target audience integrity. Communications and Marketing has provided good guidance to help with promoting your events. Our recommendation is that if you use Dotdigital, you should continue using it. For paid ads, you might have your own process already but advice about this is available on the university SharePoint, search "Media buying" See section "Using Eventbrite Marketing" and "Access to Eventbrite Marketing" Finance Finance Tools Access to Cash Office Only. The partner account contains 'Account Level' functions and controls for handling Eventbrite payouts for tickets sold through the account. This is managed by University Cash Office. If you sell tickets, you can still manage prospective attendee payments for your events, including how they can pay for tickets, refund policy and adding the VAT ID. You do this when you setup an event, tickets and orders. You can see reports per event about tickets sold etc. You can use the 'Eventbrite PayTo App' to tell Cash Office where your Eventbrite payout should be transferred; and use it to check payment due and paid status. See section "Sell your event tickets" Known Issues 1) "Contact" organiser emails not working When switched on, all organisers will receive all 'Contact the organiser' mailings to the University Eventbrite account. This means each organiser would need to triage the mailings to find any which are relevant to their event(s). The setting is currently switched off and a work around is in place. Work around: The University of Edinburgh Events account has been primed to automatically redirect 'Contact the organiser' mailings to the intended organiser for any upcoming events. If a new upcoming event is added in the evening (after 17:00) or over the weekend, the auto-redirect will be applied from 08:00 on the next working day. 2) View on event listings too restricted: By default, everyone's view on event listings in the university of Edinburgh account would be unrestricted. Following the Data Protection Impact Assessment (DPIA) it was concluded that the view must be limited to events within the person's school / planning unit. However, the only alternate option functionally in Eventbrite is to limit the view to specific events and the one's we create ourselves individually. Consequence: Event organisers cannot collaborate (or apply resilience) to administer events across their school / planning unit unless they're individually given access to others' events. Work around: Currently, on request, staff can be given access to other events (if authorised). Fix: If you have a shared email account which all staff in your event team have access to, sign in to the account and follow the onboarding steps provided to onboard it to the University of Edinburgh Events account in Eventbrite. This only needs to be done once and then each staff with access to the shared email account should setup new events via this account, rather than their own individual account. Note about shared email accounts. If you on-board with a shared email address for your event team you should make sure that only your events staff has access to it. It is you (and your teams) responsibility to manage access to the shared email account should staff leave the organisation. Consider, how you would prevent this person from still accessing the email account using the login and password which has been shared with them already? You should execute good practice policy of regularly resetting the password for your shared email accounts, this is all that's needed to help ensure that only authorised staff have access to it ongoing. 3) No access to Collections Users may not have access to create or update collections. This is consequence of issue 2 above and has been raised as a 'bug' to Eventbrite developers. In the meantime, use the work around provided below. Work around: Request new / update Collection Get access to Eventbrite Who is eligible to use it? The university partner account in Eventbrite is provided for University of Edinburgh staff who's job it is to plan and promote events (an event organiser) on behalf of their Institute, College, School or Support Group. If you already have a shared university email account for your events team, you might choose to on board it to the University of Edinburgh events account in Eventbrite. Consult your event team colleagues before you do this and when the process is complete, so they have the necessary details. Before submitting a request to access University Events in Eventbrite, it is your responsibility to ensure that you are authorised to publish events through Eventbrite on behalf of your Institute, College, School or Support Group. There may already be established governance and an events team for your area, please check first. Refer to our "Eventbrite User Lookup Directory" to see other event organisers in your area Personal (non-ed.ac.uk) email accounts are not allowed to be on boarded to the University of Edinburgh Events account in Eventbrite. How can I access The University Events Account? If you are eligible, you can request access to join the university partner account in Eventbrite and a user profile will be created for you. You will be invited to join by email. Important: When you receive your email invite to join, ensure you read the "Steps to Join the University Eventbrite Account", also linked below. Get Access to the University Eventbrite Account Document Steps to Join The University's Eventbrite Account (480.95 KB / PDF) Quick guide to create your first event How do I create an event? (Step 1 of 4) These are the basic steps needed to create a new event. Handy hints when creating a new event: The option to create using AI can be useful if you're in a hurry but do not choose "Publish Now", until you've checked the details first. Choose to "Preview your event" before you publish it. This lets you see how it will look to prospective attendees Creating your event from scratch has the benefit of giving you deeper insight to the required details and you can quality check them as you go. Initially ticket currency defaults to US Dollars but you will be prompted to set the required currency when you save the event. The AI option lets you pre-adjust this in advance. What to do How to do it Add images Select Upload photos and video to add an event image. You can upload an image directly from your device. Update your event overview Title: Enter the name of your event as you'd like for it to appear on the listing and search results Summary: Write a summary up to 140 characters that describes the most important details of your event. Set up your event date, time, and location Date & Time: Enter your event’s start and end date and time. If you have an event that occurs across multiple dates, see more details about creating recurring events. Event location: Choose Venue if your location is in-person or Online event if your location is virtual. Select "To be announced" if you aren't sure of your location yet. You can change this later. If you selected Venue, you can also enable reserved seating. Add information about your event Use the description to give more details about your event. Select Add text to add another textbox. Select Add image to add an image to your description. Only JPEG or PNG files are accepted. Add more sections Agenda: Add an agenda to give your attendees an overview of your event’s schedule so they know what to expect at your event. Select Add and enter a title. Then add the start and end time. Select Host or Artist to add the name of any performers, speakers, or special guests you want to highlight. FAQ: Add an FAQ section to answer your attendees most commonly asked questions. Select Add and fill out your questions and answers. Save and continue Save your changes. How do I setup event tickets? (Step 2 of 4) In this step you create tickets and ticket types for your events. What to do How to do it Create your tickets Go to Add tickets. Then create a new ticket type or copy tickets from another event. Donation ticket types don’t have a set price, attendees choose how much they want to contribute towards the cost of the event. Donation tickets are chargeable by Eventbrite fee at 2% of the donation amount. Donation payouts will be made to the university bank account and transferred to you but you must tell the cash office where to transfer payment for each event. Refer to the section about Selling Tickets for more details. Enter your ticket information Nb. if you plan selling tickets please refer to our guidance on this, there's an app to help you with Eventbrite Payouts and you need to let University Cash Office know where to transfer payments. Make sure that you have added the VAT ID in the tax section for your event. Refer to the section about Tax for more details. Choose a ticket type (free, paid, or donation). Then: Give your ticket a name, like “General Admission”. Add the quantity of tickets you have available. Set the price (if it’s a paid ticket type). Select the dates you want your tickets to be on sale. Save your changes. Please note, income from donation tickets is used to support the cost of the event, it should not be treated as philanthropic donations. Philanthropic donations are managed on behalf of the University by Development and Alumni. Optional: Choose your advanced settings Select Advanced settings to add ticket descriptions, update your visibility, and more. Optional: Create add-ons, promo codes, or holds Add-ons - Add things like merchandise or parking passes. Promo codes - Grant discounts or reveal hidden tickets. Holds - Set aside a certain amount of tickets that aren’t available to the general public. How do I publish an event? (Step 3 of 4) It is worth checking your settings before publishing your event. What to do How to do it Review your event details Review your event Image, date, title, and location to make sure everything is correct. Select the event organizer Choose your Organiser Profile from the 'Organizer' drop down menu. This should be the name of your College Office, School or Support Group. If yours is not listed, request a new Organiser Profile Choose your publish settings Set your event privacy to: Public: your event is listed in Eventbrite’s search directory and can be discovered using all major search engines. Private: your event can only be accessed by people with a direct link or password to your event. Choose your search settings Set your event type, category, and sub-category to help attendees find it more easily. Add up to 10 tags. These will help your attendees find your event. Publish your event Select Publish to make your event live. How do I create an order form? (Step 4 of 4) An order form is most helpful if you plan to sell tickets for your event but can also be useful even for free ticket events. Why might I need an order form? An order form can be useful even for free events because it allows you to collect information from your attendees. Here's why you might want to set one up: 1. Gather contact details like names and email addresses, which are collected automatically. 2. Collect additional information with custom questions relevant to your event. E.g. dietary preferences or accessibility needs. 3. Use the information for future event planning, communication, or to understand your audience better. What to do How to do it Set up your order form Choose which information to collect from attendees by setting up your event’s order form. Attendees will answer your questions during registration. Go to Order form (under Order options). Choose to collect info from the ticket buyer only or from each attendee. Select the info you want to collect. Optional: Customize your order confirmation Order confirmations are automatically sent to attendees when they register for your event. They include order details and PDF tickets (if enabled). Customize your event’s order confirmation to enable PDF tickets and give attendees useful information, like parking instructions or what they need to bring. Promote your event What's an Organiser Profile, why do I need one? An organiser profile page is a simple web page which helps prospective audiences follow and discover your events more easily. A profile has already been created for each college, school or support group staff who organise event listings with Eventbrite. Image Why should I use an Organiser Profile? As well as the public facing Organiser webpage on Eventbrite for your prospective audiences, having your events linked with a specific organiser within a single partner account, means your events wont appear in other university event organiser listings. How do I use my Organiser Profile? When you choose to publish your event, you have the option to select the "Organiser". Any event organiser within your college, school or support group can list their events in this organiser profile. To your prospective audiences, only those events which are public will be listed on your organiser page. Important: If you need to curate a more niche listing of your events, you can add events in a collection. Refer to the section about "What's an event collection, how do I build one?" I cannot find my Organiser Profile; how do I create one? Organiser Profiles on the university partner account need to be approved. We will only create one organiser profile which will be shared by each College Office, School or Support Group. Nb. If you just need to curate a more niche listing of your events, you can add events in a collection. Refer to the section about "What's an event collection, how do I build one?" You get a separate events page from your event listings in your Organiser Profile, allowing you more flexibility over styling & branding. Image Can event planners in other areas add their events to my collection? No, when you create a collection, it must be linked with a single Organiser Profile. Can I list my events in multiple collections? Yes, if you have created multiple collections, you can add the same event in one or more of them. There is a known issue currently with Eventbrite which impacts your permission to access event collections. Whilst this is in progress, you can use the form below to get your collection set up: Request New / Update Existing Collection Using Eventbrite Marketing Share your events for discovery organically An Organiser Profile or Collection should be sufficient for promotion and discovery of your events through the Eventbrite public space. Events can also be shared directly from any published event listings. All published event pages feature a ‘Share event’ feature which generates sharable links that can be used on Facebook, Messenger, LinkedIn, X (Twitter) or posted out via Email. This form of 'soft-push promotion' can be more effective than paid ads because they're targeted to audiences who more likely want to engage with you in the first place and helps extend reach through word of mouth. This is in contrast to paid ads through social media where the users often find ways to block them out, or they're placed in highly contested Ad space, so wont always boost reach or return on investment. Marketing Tools Available The following tools can be provided on request (see "Access to Eventbrite Marketing" in the next section). Promotions: promo codes (event specific) can be used to discount sale tickets or access codes can be used to reveal hidden tickets. More about promo & access codes Email campaigns: access to this feature is managed on a request basis by service management to ensure mailing list/contact integrity. More about Eventbrite email campaigns Dotdigital is the chosen and supported tool for university email campaigns and is an established service with compliance already built-in. If you or your events team already use the Dotdigital email platform for marketing emails, then you should continue to use it. About Dotdigital Marketing tools not currently available: The marketing tools below allow only a single social media account to be connected which would cause adverse impact on target audience integrity for all event organisers. This is by design of Eventbrite and cannot be changed: Share on Social or Paid Social Ads Eventbrite Ads Instagram Growth Paid Ads Service: If you require paid ads for your events, Communications & Marketing may be able to help. Request Access Service Level Agreement: Allow up to ten days after the event end date for payment transfer: Up to three business days after the event end date - Eventbrite payout to university bank account University Cash Office are notified about due payments Up to five days after Eventbrite payout - University Cash Office transfers payment to your 'PayTo' account. As an event organiser with tickets on sale, you can see the paid status and payment due date for your event, via the app. If the payment due date falls to a weekend, allow the next working day for payment transfer. Image Can my attendees pay by invoice? Yes, you can set the payment method when you setup tickets for your event. These are referred to as 'Offline Orders' and Eventbrite provides instructions about how to setup your event to allow payment by cheque or invoice: Allow Pay By Cheque or Invoice Can I accept donations for tickets? Yes, you can allow your prospective audience to include a donation towards the cost of your event when they reserve their tickets. You allow this when you set up your tickets in Eventbrite. Please note, income from donation tickets is used to contribute towards the cost of the event, it should not be treated as philanthropic donations. VAT is applied per event! Remember to include the VAT ID in the tax section of your event. Image Eventbrite is required to charge VAT on the Eventbrite service fee at a rate of 20%, unless you provide a verified VAT ID. A VAT ID is required for each event rather than for the entire account. As an events organiser, you'll need to enter the VAT ID under Tax Options for each individual event so that it's not added to fees which could affect your payout. The University's VAT ID is GB 592 9507 00. If your institute has a different VAT ID then use that instead. Why are Eventbrite collecting VAT on our Events? How do I get paid for tickets sold? Image Getting paid for tickets sold is easy. Eventbrite payouts are sent to the university bank account three days after the end date of the event and payment transfer is handled by the university cash office. You just need to tell university cash office where to transfer your payment, via the app. Eventbrite PayTo Records App The app is powered by Microsoft 365 Power Apps so you can pin it to your Microsoft 365 web portal or on your device. If you've been given access to the app, simply search "Eventbrite" at www.microsoft365.com To use the app on a mobile device you will first need to install Microsoft Power Apps and sign in with your University Microsoft 365 account. Don't have access to the app? If you need access to the app, use our quick request form linked below to request access. Request Access The app is an internal resource, it doesn't connect to a bank account and cannot be used to make adjustment to your event details in Eventbrite. VAT details are added in your event options directly in Eventbrite, not the PayTo App. Make sure you have the required account codes(Entity, Fund, Cost Centre & Account) to hand, you'll need to add them with each new event. Data protection and privacy How should I manage my events data in Eventbrite? This section is currently under development. Estimate time to complete End June 2024.
