Expand all Collapse all Setup How do I add Zoom to my Learn course? Zoom can be found in the books and tools menu in the details and actions menu on the left hand side of the course page. From here find the Zoom tile and click on the plus (+) in the corner of the tile to add a link to your course. How do I change my login to my UUN email address? To use Zoom in Learn you will need to log into ed-ac-uk.zoom.us and click Sign in. This will change your Zoom log in to your University of Edinburgh EASE account (UUN@ed.ac.uk). You should only use your UUN@ed.ac.uk email address, and the UUN@ed.ac.uk address of others when adding them as Alternative Hosts or giving them Schedule Privilege. How can I check that my account is set up correctly? You can check that your University of Edinburgh Zoom account is set up correctly (meaning that it is registered as your UUN@ed.ac.uk) by logging into ed-ac-uk.zoom.us going to Profile and scrolling down to Sign In. The email listed here as your ‘Sign-In Email’ should be your UUN@ed.ac.uk. To view this, you may need to click on the small eye icon next to the email address. If this is not your UUN@ed.ac.uk then please follow the guidance on updating your Zoom Email address. Settings Do I have to change my Zoom settings for each meeting? No, you do not have to change your Zoom settings for each meeting. After logging into ed-ac-uk.zoom.us and changing any settings that you wish to the changes are applied to all meetings. Do my settings apply to meetings that I scheduled before I changed them? Yes, any settings that are changed in ed-ac-uk.zoom.us are applied to all meetings that you have scheduled. Settings cannot be changed during a session. Can I change my settings when I am already in a meeting? Settings such as participant permissions to use the chat, share their screen, video, and microphone can be changed, however, main settings such as enabling any tools (whiteboard, breakout rooms, polling) cannot be changed during a session. To update tool settings, you will need to end the meeting, change the settings in ed-ac-uk.zoom.us and then restart the meeting for the changed settings to be applied. Do all meetings have to have a passcode? Yes, all University of Edinburgh Zoom meetings must have a passcode to comply with Security measures. The passcodes can be changed, but they cannot be removed or disabled. Can I turn off the Waiting Room? Yes, the Waiting room feature can be turned off in ed-ac-uk.zoom.us in Settings> Security. During a Meeting Can I admit more than one participant at a time? Yes, you can admit more than one participant at a time by opening the Participants panel and clicking on the Admit All button at the top of the panel. Please note: Clicking this will only admit the participants currently in the waiting room. If participants try to join the session after you have pressed this, they will remain in the waiting room until they are admitted by the Host or Co-Host. Does my video view selection change the view for all participants? No, changing the way that the participants’ videos are displayed to you does not change the view of any others in the meeting. Can I pin multiple videos to my screen? Yes. Pinning multiple videos to your screen is possible but needs to be enabled by the Host or Co-Host for each participant that requires this. Does pinning a video pin the video for everyone in the meeting? No, pinning a video, or multiple videos will only pin the videos to your screen and will not change the view for others in the meeting. Can a Co-host create a poll in a meeting? A Co-Host is not able to create a poll within a meeting, but they can launch a pre-uploaded poll in a meeting. If a new poll is needed this will need to be created and launched by the Host of the meeting. Can I have more than one Host? No, within Zoom there can only be one Host. A host can allocate Co-Hosts within the meeting, or make another user the Host, but this will remove all privileges that you have as Host. Due to this, we do not recommend making others in the meeting the Host, only a Co-Host. What is the maximum number of participants I can have in a meeting? Zoom meetings have a limit of 300 participants. This includes the Host, any guests, and Co-Hosts. More information on buying meeting licenses is available. Are live captions saved? For live captions used in the meeting to be saved the Host will need to enable this in their settings at ed-ac-uk.zoom.us Recordings Where are the recordings stored? Any recordings made in Zoom are saved in the cloud recordings tab within the courses Zoom scheduler area. Recordings are also automatically transferred into the courses Media Hopper Replay area, or into your own Media Hopper Replay Library. You can automate the relocation of recordings into Media Hopper Replay courses by going into Media Hopper Replay> settings> Zoom settings and selecting the class from the dropdown menu. More information about recording storage and Media Hopper Replay Privacy Statement can be found on the Media Hopper Replay support pages. Will recordings automatically go into class areas? If the course that the meeting is taking place in is a Euclid fed, Media Hopper Replay enabled course then the recording will be automatically transferred into the class area. If the course is not a Euclid fed course, a playground course, for example, you can automate the relocation of recordings into Media Hopper Replay courses by going into Media Hopper Replay> settings> Zoom settings and selecting the class from the dropdown menu. Is there a delay with the recordings being visible to students? Unlike Media Hopper Replay lecture recordings there is no delay in Zoom recordings being available to view for students. When the Host of the meeting receives an email from Zoom confirming that the recording has been processed this also means that the recordings is available in Media Hopper Replay to be viewed by students. Can I hide recordings from students? If the recording is held only within Zoom and you have not enabled student access to Media Hopper Replay, then the students will not have access to the recording. If you have enabled Media Hopper Replay access in your course, then you can change the availability of the content. Can I use the automatic captions from Zoom as Captions in Media Hopper Replay? Yes, you can use the captions generated by the automatic captioning service in Zoom as captions in Media Hopper Replay recordings. If you have used the automatic transcription service, this will be automatically moved over to Media Hopper Replay with the video and audio recording of the session. To edit and enable these captions to be viewed with the recording you will need to locate the recording and click the ‘...’ on a video thumbnail> More Actions> Edit Transcript>Apply to CC> Apply. We do recommend that you take the time to edit the transcript to make this as accurate as possible for users as automatic transcription services are never fully accurate. Accessibility Does Zoom offer Captioning? Yes, Zoom offers both manual and automatic captioning. This is a feature that needs to be enabled in your settings at ed-ac-uk.zoom.us. From here you can also enable the saving of captions as a text file that will be available after the session is over. Can I change the caption size/colour? If you are using the Desktop Client, then users can edit the size of the captions on the screen. To do this go to Settings> Accessibility and use the slider to change the text size. You cannot change the text colour. This will display as a black background with white text. Can users multi-pin videos? Yes, you can allow users to multi-pin videos. To do this open the participants panel, then hover over their name, click Allow to Multi-pin. Is Zoom compatible with Screen readers? Yes, Zoom is screen reader compatible.
