New Service delivers reduced costs for event organisers and attendees alongside unified support for events community. Eventbrite is an all-in-one ticketing and discovery platform previously used across the University, both on an individual and departmental basis. In response to requests from the events community and introduction of charges by Eventbrite, Information Services negotiated a partnership agreement with Eventbrite with the aim to deliver fantastic benefits to event organisers across campus. To ensure the new service was delivered as successfully and smoothly as possible, the project team collaborated closely with several groups and departments across the University, including Finance, Communications and Marketing, the Business School and College of Art (ECA), and a User Implementation Group (UIG). Largely consisting of Events Management Community (EMC) members, the UIG provided the feedback that the project team needed to shape the new service and guidelines for use. This ensures that event organisers and attendees feel comfortable and happy with the new service. Great to see this ISG centrally-run service, that will benefit Eventbrite users right across the whole University, now coming to fruition. The project team have worked hard to ensure that the views and feedback from all stakeholders have fed into this successful service launch. It's been a great project to be involved in. The service is now live and available for use by University of Edinburgh staff who plan and promote events on behalf of their Institute, College, School, or Support Group. Saving costs for Eventbrite users and event attendees Organisers will no longer be charged for running free events, instead being able to sell unlimited free tickets, giving more people greater opportunities to attend events organised by the University. Additionally, the service also offers reduced commission fees for paid ticket events compared to promoting events directly via Eventbrite’s standard offering. Event promotion via the central account will also make it easier for target audiences to discover University events, potentially increasing revenue and attendance. These incredible changes will provide significant cost savings for the amazing number of events held every year across the University, making events accessible to a much wider audience of staff and students. Unified support and central management of data protection, privacy and accessibility The new service, with an under-pinning contract, is centrally-run by IS Service Management on behalf of all University Eventbrite users, unifying all support and communications together. As a result, cybersecurity and data protection is enhanced, with reduced isk of the sharing and spread of confidential and personal data. Guidance and support for Event Organisers The new service offers guidance and support to event organisers across the University which includes expert promotion, digital marketing and University brand advice, as well as an enhanced process for the management of ticket sales income.
