We are improving the University’s Email Security

As part of the strategy to continuously improve Microsoft 365 and email security for the University, a set of Email Security policies will be implemented on 16 April 2025.

This is aimed to improve how unsolicited and harmful emails are delivered to you, by better identifying and helping to reduce the amount of phishing and junk emails that end up in your inbox. Emails determined to be safe will continue to deliver into your inbox as usual.

This improvement is aimed to work for you as described below.

  • Improved spam filtering: The policies will help categorise junk mails better and move those to your junk mail folder, thereby reducing the need to forward emails to the IS Helpline to check their legitimacy.
  • Quarantine of emails detected as harmful: The email protection system will continue to quarantine emails that have been detected as harmful or malicious. Please note that you can view your quarantine folder (which is external to your mailbox) and decide how to manage emails that are filtered into it. Junk Mails

To view a mail that has been detected as junk, go to your Junk Mail Folder (within Outlook or the email client that you use). You can perform actions like:

  • Block the sender
  • Add the sender to your safe Senders List.
  • Classify the email as ‘Not Junk’
  • Delete the email

Quarantined Mails

The policy automatically holds suspect emails in quarantine until you are able to visit your quarantine location and review them. When there, you can perform actions like:

  • Preview the quarantined mail
  • Delete the message
  • Block the sender
  • Allow the sender
  • Request that admin release the email to your account

It’s a good idea to check your quarantine and junk mail folder regularly, as emails in them will be automatically deleted after 30 days
