Improved student support model in place

Introduction of case management to support the Student Wellbeing Service and Residence Life teams, enhancing student experience.

Alongside traditional learning and teaching activities, universities support students to ensure they are able to fulfil their potential throughout their studies and extracurricular activities. To provide the best possible experience, the University of Edinburgh has rolled out a new model of student support over the past two academic cycles. New roles, services, and ways of working were introduced.

As part of this investment, and to enable this model to work as efficiently as possible, a new case management system, Advocate, has been implemented. The first phase of rollout saw Advocate implemented to both the new Student Wellbeing Service and Residence Life. Advocate can provide a single golden copy for the student’s support record, replacing more disparate ways of working across the institution.

'The implementation of the new CMS has gone very well, the project team took time to fully understand the needs of both the Student Wellbeing Service and Residences life and developed the system to support the work we do with many students needing robust wellbeing support. The CMS has a simple single referral route that allows us to gather the important information to tailor our responses and ensure the referral gets to the right team as well as a range of built-in processes to help us deliver a consistent response, ensure appropriate overview of cases and automatic processes that flag situations that need immediate attention. The new CMS has enhanced how we work with our students.’

The new case management system supplements the student record, to manage confidential support information across 2 services. The use of Advocate will be evaluated for further rollout to Schools, Colleges, and other support services. Advantages include effective and safe sharing of information between relevant professionals to allow for collective decision-making, reducing any potential risk for the student and workload for the administrative services. Reporting and information management can give overviews to inform proactive support for students. If fully implemented, this will bring a more consistent approach to support individual students, especially for complex cases

By enhancing the way wellbeing and support services work for each individual, the student’s support experience will be improved by with the University services working in a more cohesive and personalised manner.
