Why not get involved with the new Committee Management System?

Staff from across the University can now get involved with the new Committee Management System in a number of exciting ways.

Background of the Project

In 2016, the Committees Intranet solution was introduced to securely store confidential documents and information of the University Committees. Since 2022, the Committees Intranet project has been running to replace the current technology (SharePoint and EdWeb) with more advanced and efficient services.

In January 2024, a 3rd-party Committee Management System was accepted for procurement to develop systems externally, rather than building one internally. As a result, the project is being re-planned to involve more Committee members in the procurement process and promote more engagement with markets, which is why we need you! Getting involved with this project is very exciting and holds many opportunities, with a number of different ways you can get involved…

What can you do?

Join the Project Team

Maybe a Committee Secretaries and Committee Members would suit! Represented by different users and needs from a variety of Colleges and Professional Groups, there are a number of different aspects to this role, including:

  • Attending regular project meetings
  • Attending system demos and provide feedback
  • Helping to communicate with users at your end of expertise (Committees within your College or Professional Group)
  • Assisting with the procurement processes

Attend System Demos

Held between April and May 2024, around two demos per system (one on Committee Secretaries and Administrators, and the other focusing on Committee Members) will be available to attend and provide feedback on.

If you are interested in signing up, please click here and provide for name, UUN, and which sessions are of interest.

Watch Recorded Demos and Feedback Your Comments

If you cannot attend any in-person demos but are still interested, recordings will be available online to watch and provide feedback on. This is a very accessible way of getting involved, requiring little in-person attendance, but instead just your feedback! Recorded sessions will be published on the SharePoint site.

To get involved, have a look at the SharePoint site, or feel free to contact Colin.O’Sullivan@ed.ac.uk.
